Everything you need to know about capturing accurate product data -right where it’s stored.

What is item data capture?

Item data capture is the process of collecting all relevant information about a product or SKU so it can be stored, tracked, and used efficiently in a warehouse, supply chain, or retail system. This typically includes:

  • Dimensions – length, width, height, and volume of the item.

  • Weight – for shipping, pallet planning, or load optimization.

  • Photos – visual reference for identification, e-commerce, or quality control.

  • Barcodes or QR codes – for scanning and tracking.

  • Custom attributes – any additional fields relevant to the business, like expiration dates, batch numbers, or handling instructions.

The goal is to have accurate, standardized, and accessible data for each item so it can streamline operations like storage, picking, packing, shipping, reporting, and analytics.

Why is having my product data updated important?

Having proper, accurate item data is critical because it powers every decision and process in your warehouse or supply chain. Proper data ensures you:

  • Optimize space and storage – know exactly what fits where.

  • Reduce errors and rework – fewer mistakes in picking, packing, and shipping.

  • Improve speed and efficiency – employees spend less time guessing or double-checking.

  • Plan effectively – accurate data enables better forecasting, load planning, and inventory management.

  • Support scalability – as your operation grows, reliable data makes expansion and automation smoother.

In short, proper data turns chaos into clarity—everything runs faster, smarter, and more cost-effectively because your team can trust the information they’re working with.

What types of data can I capture?

You can scan barcodes, record weights, take high-resolution photos, and log attributes such as dimensions, descriptions, SKU numbers, unit of measure, or condition notes - all in one workflow.

Your organization has up to 12 custom fields to work with.

How does it improve efficiency?

By capturing data on the spot, employees eliminate extra handling, minimize back-and-forth movement, and ensure accurate, real-time updates to your inventory or product database.

Does it integrate with my current systems?

Yes. Our solution can integrate with most ERP, WMS, and e-commerce platforms to automatically update product information and maintain a single source of truth.

Do I need special equipment?

It depends on the data collection tool you choose:

  • xPIM – Works on any Android device, iPhone, or iPad. You can enter dimensions manually on any device, and automatic dimension capture is available on iPhones or iPad Pro models. (Download today and start capturing! Search xPIM in Google Play or App Store)

  • xDIM – Requires our T1175 Rugged Tablet with an Intel RealSense Camera for automated dimensioning. (You’ll need to purchase the tablet, but once it arrives, just turn it on and you’re ready to roll!)

Can it be used in any location?

Yes. Whether in a warehouse aisle, retail floor, shipping dock, or field location, our system is designed for flexible, mobile use.

Is training required?

Minimal. The interface is user-friendly, and most teams can start capturing accurate data after a short onboarding session.

How accurate is the data capture?

Very accurate. The system uses precise scanning and weighing technology, and photo documentation provides visual verification for every item.
